Objectives of this Tutorial

  • Customise holiday information and time zones displayed on the calendar

Publish the Calendar as a Web Page

Publishing your calendar as a web page allows non-Outlook users to view your schedule. You can put the web page HTML file on an internet site, or email it to colleagues.

To save your calendar as a web page

  • In the Calendar window, from the File menu, select Save as Web Page...

The Save as Web Page dialogue box is displayed.



  • Under Duration, enter dates in the Start date and End date boxes
    (For example 01 September 2001 to 30 September 2001)
  • Under Options, you can select to include appointment details and add a background graphic
  • Under Save As, in the Calendar title box leave the default title or enter a title for the calendar
  • In the File name box, use the Browse button to select a path to the location where you want to save the files

Tip: To save your web page so that it is available on the internet, you can save it to a web folder (if your own organisation has a suitable web server) or you can publish it using your ISP's web server by entering the full URL of the server in the File name box.

  • Click Save

The calendar is displayed in the browser window.



Add Holiday Information to the Calendar

Using Calendar Options, you can change the days marked as public holidays on your calendar, and redefine the days and hours or your working week. For example, if you have international contacts, you can add the holiday dates of their own country so that you are aware of their availability.

To set holiday and working time information

  • From the Tools menu, select Options... then click the Preferences tab
  • On the Preferences tab, click the Calendar Options... button



  • From the Calendar work week panel, select from the boxes to set your working days and times
  • Click the Add Holidays... button

The Add Holidays to Calendar dialogue box is displayed.



  • Click the check boxes to add or remove holiday information from different countries
  • Click OK to close all dialogue boxes

The holidays are then displayed as events in the banner headings at the top of each day in the Calendar as shown below.



Add Time Zone Information to the Calendar

You can set the Time Zone that Windows uses through Outlook. You can also view two time zones in your calendar, which can be useful for scheduling international meetings or making phone calls abroad at an appropriate time.

To set time zone information

  • From the Tools menu, select Options... then click the Preferences tab
  • On the Preferences tab, click the Calendar Options... button then click the Time Zone... button

The Time Zone dialogue box is displayed.



  • Enter a short Label to identify the zone in the calendar
  • Select a Time zone: from the list box (GMT -12 hours appears first, GMT +12 hours last)
  • Select Show an additional time zone if necessary and enter the details as above
  • Click OK to close all dialogue boxes

Warning: Setting the time zone from Outlook changes the time zone used throughout Windows.

If you set an additional time zone, it is displayed to the left of your original time zone as shown below.
